How do the PINs get assigned to individuals?

The logic within the Individuals product is a very complex algorithm which extracts and compares all individuals stored within the platform’s database and determines which individuals are the same person.

The logic compares and groups individuals by name, date of birth, address and relationships to companies and trusts to determine if the individual is the same person.

If the logic can not determine if the individual is the same person, a PIN is assigned to the individual to identify any differences. 

The PINs are assigned as follows:

 Example scenario 1:

Two or more individuals with the same name and same address exist, but with different dates of births.

The system will assume this individual is the same person, but will add a ‘Conflict’ PIN to identify the discrepancy in the date of birth.

Example scenario 2:

Two or more individuals with the same name with different dates of births and different addresses exist, but they share a connection between companies and/or trusts.

The system will assume this individual is the same person, but will add a ‘Conflict Pin’ to highlight the discrepancy in the date of birth and address.

 Example scenario 1:

Two or more individuals with the same name and same address exist, but the date of births have a digit swapped (i.e. the day, month or year digit is different).

The system will assume this individual is the same person, but will add a ‘Warning’ PIN to identify the discrepancy in the date of birth.

 

Example scenario 2:

The date of birth does not exist for a group of individuals with the same name with different addresses and they don’t share a connection between companies and/or trusts.

The system will assume this individual is the same person, but will add a ‘Warning’ PIN to identify the discrepancy.

 

You can view PIN in the Individuals register or individual profile.

Step 1 : As a NowInfinity user, navigate to the Individuals register on the main menu

MENU -> INDIVIDUALS

Step 3 : Selecting a name will redirect you to the individual’s profile view, where you can also see the PIN allocated to the individual.

In the example above, you can see that the person has a different address for the relationship with one of the trusts. 

To resolve any of these discrepancies or any data, you will need to make the changes to the individual related to the company or trust via the company or trust profile. And complete the necessary documentation where required.

Step 4 : You can click on the trust name to view the trust profile in Trust Register to correct the address if required.
